Summary: Our Medical Residency Department in Everett is looking for
a Full-time Executive Assistant. With supervision from the
Residency Program Coordinator and oversight and direction from the
Residency Program Director, the Executive Assistant is responsible
for assisting the Residency Program Coordinator and the Faculty
within the Family Medicine Residency. The Executive Assistant m ust
be able to independently manage workflow and meet deadlines. Must
be able to use good judgement and maintain confidentiality.
Excellent clerical skills and ability to multi-task are needed for
this position. Knowledge of medical terminology preferred. Must
have the ability to work respectfully and professionally with the
community, faculty, residents, and other providers and staff; Able
to work effectively in a multi-cultural environment with a diverse
population. Must have the ability to use computers such as, (Word,
Excel, PowerPoint, and Outlook). Experience using New Innovations
software preferred but not required. There is an expectation that
the Executive Assistant will travel between training sites to
deliver and pick up materials, as needed. There will also be
occasional travel between Marysville, Everett and Seattle. The
possibility of business travel for regional and annual conference
will be at the discretion of the Residency Program Director.
Mileage should be reported and will be reimbursed. Under general
direction will assist with the Accreditation Council for Graduate
Medical Education (ACGME) guidelines, processes registrations, and
assists the Residency Program Coordinator with the resident
application and evaluation process. This position requires a
detailed understanding of national accreditation policies and the
policies of the Sea Mar Office of Medical Education. Duties and
Responsibilities: + Review faculty and resident physician
schedules, including inpatient and outpatient activities, on a
monthly basis and work with Residency Program Coordinator and
Health Center Administrator to implement any changes/corrections
that may need to be made. + Assist with preparation of recruiting
activities, including applicant folder prep, interview room set-up,
and coordinator catering for interview events. + Assist with
arranging and executing resident exam days. + Take minutes at
Graduate Medical Education Committee meetings + Assist with
coordination of didactic sessions, including set-up and breakdown
of room and AV set-up; maintenance of the didactic schedule and
recording of weekly attendance in New Innovations software;
assistance with the coordination of outside lecturers for weekly
didactic sessions. + Assist Residency Program Coordinator in
completing administrative paperwork for the residency program,
including maintenance of resident tracking spreadsheets. + Assist
with development of brochures, invitations, and advertisements for
conferences and lectures. + Develop and maintain filing and other
organizational systems for records and reports for resident and
faculty portfolios and residency program accreditation. + Assist in
the preparation for ACGME and CLER site visits and internal
reviews. + Receive inquiries from residents and applicants and
triage as necessary to others within the department, or in other
Sea Mar departments. + Assist with the planning of departmental
annual events including recruitment, orientation, graduation, and
retreats, as well as various meetings and program-related events. +
Assist in monitoring resident duty hours and operative/case
experience via regular review of data reports. + Performs other
duties as assigned by the Residency Program Coordinator and
Residency Program Director. Education and/or Experience: +
Associates degree and 2-3 office administration experience in
healthcare and/or education required. + Undergraduate degree
preferred. + Must possess ability to write and compose professional
correspondence. + Must have solid customer service skills both over
the phone and in direct interaction with visitors and staff. + Must
have a valid WA State Driver's License and current automobile
