ESSENTIAL DUTIES AND RESPONSIBILITIES: The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment.

50% Processes requisitions, reviews approval authority, and performs simple to complex problem solving in relation to these duties. Transmits purchase orders to vendors, and confirms that orders have been received. Works with vendors to identify pricing and availability, resolve discrepancies, expedite orders, and maintain ongoing relations. Register employees for training classes & seminars.

23% Processes maintenance and subscription renewals.

15% Resolves purchase order invoices on hold in ACOM system. Validates and processes recurring invoices. Work with vendors to resolve discrepancies. Reviews and codes recurring invoices in ACOM system.

5% Processes all incoming shipments for accuracy and product condition, distributes to appropriate departments, and enters packing slips into receiving system. Monitors and distributes Purchasing mailbox mail. Maintains purchasing files including requisitions, purchase orders, packing slips, software licenses, and other associated documents and reports. Updates Purchase Request Database.

  • Works independently with minimal supervision.   • Performs all duties in a manner which promotes and supports the Core Values and Compact of The Everett Clinic.
  • Integrates Lean principles, practices and tools to improve operational efficiency, reduce costs and increase customer satisfaction.
  • Frequently must follow written and oral instructions as well as complete routine tasks independently.
  • Completes annual compliance training on HIPAA/Privacy/Confidentiality/Non-Discrimination/Harassment/Integrity Statement and signs Agreements.
  • Ensures confidentiality of patient information following HIPAA guidelines and TEC policies.
  • Attends training to meet requirements of the job position and as needed or mandated by TEC policies, Div. of Occupational Safety & Health (DOSH), OSHA, L&I and other state/federal regulations.
  • Has regular and predictable attendance.

    2% Performs other duties as assigned.

    Works effectively in a team environment. Excellent verbal, written and organizational skills. Excellent customer service and interpersonal skills.



    Knowledge: Knowledge of purchasing and/or accounting practices, basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately. Demonstrated computer skills and knowledge of Microsoft Office software and email applications. Demonstrated intermediate skills and knowledge of Microsoft Excel.

    Abilities: Reads, speaks, understands and writes proficiently in English. Ability to adapt to changes in the work environment and to shifts in organizational philosophy and expectations. Works with initiative, energy and effectiveness in a fast-paced environment to prioritize and multi-task, competing tasks and demands. Ability to be positive and flexible under pressure. Ability to identify and solve simple to complex problems. Ability to type 40 wpm and ten-key adding machine by touch.


    Education: High School Diploma or GED required; Associates Degree in Business or other field preferred.

    Experience: Minimum of two years' experience in purchasing setting required. Intermediate Microsoft Excel experience required. Experience using Purchasing software.
