Job DetailsJob LocationWenatchee - , WAPosition TypeFull TimeTravel PercentageNoneJob ShiftDayDescriptionPosition Summary:The New Journeys Program Assistant is a split position with the New Journeys Program and Outpatient Records and Registration. The Program Assistant will support the New Journeys (NJ) First Episode Psychosis (FEP) Program and as a Records and Registration (R) Specialist for Outpatient Services. The NJ Program Assistant is responsible for organizing, coordinating & monitoring all non-clinical operations of the NJ Program. The Outpatient R Specialist is responsible for performing general office services, including in-person & telephone requests for service, handling paperwork for individuals seeking counseling services, checking in clients, handling payments for services, answering the phone, data entry, & other functions related to establishing client records in accordance with contract requirements when services are requested or delivered.NJ Program Assistant Responsibilities:Provide secretarial support for the New Journeys Program including:Typing forms, letters, correspondence & memosManaging & maintaining filesCopying & routing or posting information appropriatelyAnswer telephone calls including performing the following:Triage & coordinate communication between the team & clients, including deciding how quickly to refer calls to other staffExpedite answers to questions for clients, families & other community entities & agenciesWork with callers to relieve urgent situations & to temporarily manage or de-escalate them until other staff are availableAssess & report clinical behaviors & information that seem out of the ordinary for a particular client. Document these activities as requestedAssist the team with timely communication with primary & specialty medical care providers, acute care hospitals & emergency departmentsVerify eligibility & benefits for all insurance clientsRecord admissions & discharges to provide a source of information for statistical reportsAssist with gathering & tracking health information & enter health data in the Electronic Medical Record (EMR) & other relevant health data systemsProvide support to care team by monitoring compliance with requirements, collecting necessary data & running related reports as requestedReview client enrollment data & clinical documentation to ensure compliance with federal, state, MCO, & county regulationsTrack & run appropriate weekly/monthly reports & distribute to clinicians/Program Manager as requested, or make available to staff as neededEnsure that notifications of detentions, crisis interventions, emergency department episodes, or other inpatient episodes are distributed &/or are available to clinicians as needed through regular reportsAssist with auditsMaintain basic knowledge of medical records, information systems & forms in order to answer staff questions, facilitate problem solving & audits filesEnsure appropriate documents are scanned into EMRPrepare letters to request medical records & client authorizations, & maintain log of requests & records receivedSupport Program Manager by preparing materials for team meetings & record content as requestedDistribute team mail as appropriateMaintain a stock of supplies for the team from inventory by filling out purchase requisitions & ordering through the purchasing proceduresEnsure all program office equipment is in good working condition & request maintenance/repair as neededUpdate & maintain a policies & procedures manual to assure that current & accurate information is available to staffDisclose limited client information as necessary to the position as trained by the Records Dept. Supervisor. Disclosure must adhere to HIPAA privacy & security standards & be logged in detail according to agency policy & procedures. Complete all required training & annual refreshersR Specialist ResponsibilitiesPerform functions related to Registration & Records department to ensure continuity of services, access, & review standards are met according to contractPractice confidentiality in accordance of agency policyWork with support, accounting, billing & clinical staff to ensure continuity of client servicesMaintain positive working relationships with referral sources, community entities, & staffComplete functions related to clinical records & information systems, as directed by R SupervisorMeet regularly with R Supervisor Back up-Front Desk dutiesPerform other duties as assignedJob Requirements:The following requirements are those that are normally required for performance of this position. These physical demands are required up to 90% of the time.Non-Physical Requirements:EducationHigh School Diploma or GED requiredAssociates Degree preferredExperienceMinimum 1year experience providing general office support in a health care related setting2 years experience with EMR/EHR SystemSpecial SkillsType at least 45 WPM with accuracy in Word processing & transcription with good spelling & writing skills. Ability to manage high detail administrative tasksComputer literate in Microsoft Office environments (Knowledge of Excel required)Ability to work within interdisciplinary team setting on behalf of complex clients with extensive behavioral care needsExperience with EMR & data tracking, & ability to read data reportsFamiliarity with outpatient medical clinic operations so as to facilitate the establishment of positive & productive relationships with medical staff throughout the communityExperience or course work in medical/psychiatric terminology preferredAbility to work under stressful situations, i.e., clients in crisis, numerous telephone calls Ability to communicate effectively collaborates, prioritize work assignments, & work independently Experienced use of standard office equipment, including computer, copier, fax, phone, calculator, TTY, or other equipment found in work unitMaintain positive, team-oriented service attitude & communications toward clients & staffKnowledge of community resourcesStrong interpersonal skillsFlexibility in scheduled work hours to accommodate evening hours as necessaryLicensure, Registration, CertificationValid Washington State Drivers license & agency minimum required liability insuranceEmployment is conditional upon:Being cleared by criminal background check & fingerprinting when required
